Policies -  Activating a Policy


This article will explore the steps needed in order to Activate a Policy in The Guard. Activated Policies can be assigned for Attestation by Employees and/or Published to the Employee Portal. This article will explore how to Activate Policies. Please see the Policies - How to Assign for Attestation Knowledge Base Article for Attestation Instructions.

Activating Policies

  1. Navigate to Policies > Add New:

  2. Select one of the following options:

    1. Select Browse Templates to view the available Templates provided within The Guard via the Templates Library

    2. Select Create Blank Policy and use the Editor to create a new policy using the embedded Editor


Policy Templates can be moved to Draft status in Bulk:

  1. Select Add New > Browse Templates to view the available Templates provided within The Guard via the Templates Library

  2. Use the checkbox in the left-hand column to select each of the Policies

  3. Select Bulk Actions > Move to Draft

  4. Confirm the Location that the Policies should be assigned to:

  5. Select Create; The selected Drafts will now be available under the Drafts tab in the Policies Module


Once the Policies are in Drafts, they can be Activated in Bulk:

  1. Select the Drafts Tab in the Policies Module

  2. Use the checkbox in the left-hand column to select each of the Policies
  3. Select Bulk Actions > Adopt Selected - this will move the selected Policies into the Active tab

Browse Templates > Template Library


The Templates Library will contain all related Policy Templates provided within The Guard. It is not required that an Organization use these Templates or refrain from editing the Templates. Please utilize any available templates as needed. 


Templates may be Selected from this view, which will prompt an Admin/Officer to fill in additional details for the Policy:


Templates may also be Previewed before being Selected -

  1. Select Preview to open the Policy Template and review the content
  2. Selecting Use this Template at the top will prompt an Admin/Officer with the above drop-downs, shown again below:



  • Title - Default Title of the Template - Can be adjusted
  • Location - Organization Wide or Locations set up in The Guard - Locations can be configured via the Admin module
  • Type - Types of different Policies / Procedures. The Guard provides the following for selection:
  • Programs - Relates to the Programs module and which Programs are available to the Organization - Multiple Programs may be selected
  • Standards - Relates to the Standards (HIPAA, OSHA, SOC 2, etc) available within The Guard - Multiple Standards may be selected - Standards are not customizable


Select Create, once any necessary adjustments have been made

  1. After selecting Create, the Template becomes a Draft and the Officer/Admin will be redirected to the Editor with this new Policy/Procedure Displayed. Here an Officer/Admin may update/alter/change the Policy/Procedure to their liking. Policy/Procedure documentation here can be “Saved & Activated” right away, or simply saved into the Drafts for additional review and editing. 

  2. Once the content of the Policy/Procedure Draft is final, the Organization, when ready, may follow these steps to adopt it

    1. Select Move to Active to save changes and adopt the policy

  3. Adopted Policies can be found under the Active Documents tab in the Policies Module
