(Legacy) Personalizing Your Policy Manuals

Compliancy Group provides sample Policy and Procedure Manuals within The Guard that you are more than welcome to utilize as your own.  If you would like to personalize or edit those Policy and Procedures, you are more than welcome to do so.  To find your Policy and Procedure Manuals, select the Documents option on the left navigation panel, and then open your Policy and Procedure Folder.


note* any changes to the main sections of the Manuals need to be reviewed by your Legal Team prior to updating within The Guard.  Compliancy Group cannot assist with or speak on any changes made to the main sections of the Manuals.

 

Covered Entities can personalize the Security Policy and Procedures Manual and the Privacy Policy and Procedures Manual in the Covered Entity CE Policy and Procedures Folder. Business Associates can personalize the appropriate Security and Privacy Policy Manual, located in the Business Associate BA Policy and Procedures Folder. Click on each Policy to open the Policy in the Guard’s review and editing window.

Input your Organization’s Logo or Name where it asks for it at the top of the template.


In the table section below the Logo/Name, insert:

  • Your company name
  • The effective date for the Policies (annual review is required)
  • The name or names of the designated Security, Privacy and Compliancy Officers. One person can occupy all roles or you may designate different people for each Role as needed.
  • The person responsible for review.

Once completed, use the back button to return to the Policy folder and automatically save the changes.
 

1. Review and Approve Your Personalized Policies: Once the changes are saved, review your Policies to confirm that the Company information and the list of Officers is correct. Click the Unapproved Docs button to see a list of pending document approvals. If all the information is correct, click the Approve button, click the Yes Request Attestation option (if not already selected) and then click Yes, Approve.


2. Have the Officers Read and Attest to Your Personalized Policy Manuals and Complete Training: Make sure the designated Security and Privacy officer reads the full policy manual and becomes familiar with each section (The Security Officer will read the Security policies in full and the Privacy Officer will read the Privacy policies in full).


3. Notify Staff to Begin Their HIPAA Training: In addition to the Policies, we have uploaded three HIPAA videos (Cybersafety, HIPAA 101 Parts 1 & 2) and the Medicare & Medicaid Fraud Waste and Abuse training (if you bill through these services). 

note* when we add the Policies and Training videos, an email is sent to all of your Users notifying them of their training tasks and includes an instruction attachment for logging into The Guard to complete Training.
