(Legacy) How do I Edit Documents

Modified on Tue, 31 Oct 2023 at 02:32 PM

While Compliancy Group suggests that no changes to the Documents are made (as they have been vetted and proven to pass in the case of an Audit), if you would like to make changes to your documentation, we ask that you consult with your legal team for review.

To make edits to a Document in The Guard, you will want to start by heading over to the Document Manager.

Select the Folder that the Document in housed in, and then, from the menu icon on the far right, select Edit Document.

Simply locate where you would like to update the Document, and make the changes. To undo a change, you may use the “Undo” command or press “Ctrl-Z” (Windows) or “Cmd+Z” (Mac) on your keyboard.

All of the changes that you make to the Document will save automatically once you leave the Document Editor, however, to make your changes permanent you will have to approve the Document.

Head back over to the Document Manager screen, and select Unapproved Docs

Find the Document you made your changes to, and select Approve

Tell The Guard whether this Document requires Employees to attest, and then select Yes, Approve to make the changes permanent.

Head back to the Documents Manager Screen, select the folder and File, and view your changes.

The Guard allows you to save a copy of the original Document as well, if you would like to preserve a copy to refer back to at any time.  If you do not wish to overwrite the original File, please follow these steps:

As stated above:

  • Navigate to the Documents Manager Screen
  • Select the Folder the File is located in
  • From the menu icon, select Edit Document

Once you have opened the Document Editor, select Save as New Document on the top right of the page, then, name and save the new file.

After saving the new File, you will need to approve it to begin your edits.

As stated above:

  • Head back to the Documents Manager Screen
  • Select Unapproved Docs
  • Find the Document and select whether it requires attestation or not, and then select Yes, Approve

  • Navigate back to the Documents Manager Screen
  • Select the Folder the File is located in
  • From the menu icon, select Edit Document on the new Document you just saved
