How to Create Training

This article provides general guidance on how to use the Training module features in The Guard. 


Create a Training

  1. Navigate to the Training module (Shown above)
  2. Select Create New Training
  3. There are 2 Selections to be aware of (see screenshot below): Cadence and Browse Course Library
    • Cadence: A Cadence can be set for the Training - 
      • Sequential: A course will only be available after completion of the previous course
      • Unordered: All courses will be available after enrollment
    • Browse Course Library: Browse the Library of available Course Content and select the Courses to add to the Training. Multiple Courses may be added to a single Training
      • IMPORTANT: Courses cannot be adjusted (removed/altered/added) once the Training has been created. If needed, please Preview the Courses before moving forward with Assignment to determine whether the Course meets the Organization's needs.
  4. Select the Cadence and Courses that need to be added, then select Next:
    • The drop-downs on the left-hand side will allow ordering of the selected courses, only when the Cadence is set to Sequential - Use these drop-downs to set up the preferred order of Training
  5. Create a Name, Description, and Assign an Instructor for the Training, then select Next:
    • Name - Onboarding, Annual Training, HR Training, etc. - The Training Name will default to the first Course Name on the list unless changed.
    • Description - If needed, enter basic details about the Training, purpose, or included courses, etc.
    • Assign an Instructor - The Individual monitoring or tracking Training completion - this can be set to any Active Team Member in The Guard. Select Next when the fields have been filled in.  
  6. Set the Enrollment Criteria, by selecting the "Enrollment Criteria" button
    • Organizations can assign Training by Employee, Location, and Groups. An "All Employees" option is available, too - if this option is selected, no other Enrollment Criteria may be selected. New employees with matching assignment criteria will be automatically assigned the Training!
    • Multiple selections can be made for Enrollment Criteria - Such as selecting a Group, AND a Location, AND an Individual:

  7. Once the Enrollment Criteria has been set, the next step is Settings:
    • Start Date: Assign the Launch Date for the Training - Training will be assigned to Employees on the Date specified
    • Training Duration: This can be set in 2 ways: Completion Period or End Date
      • Completion PeriodThe Completion Period starts when an assignee is added to the training. The end date is relative to when each assignee is added to the training
        • Repeat - Available to Completion Period ONLY - Repeat cadence can be set to Quarterly, Semi-Annually, Annually, and Bi-Annually - This selection will Repeat the Training at the specified cadence.
      • End Date = Setting an End Date will automatically close the training for all assignees.
        • Grace Period - Available to End Date ONLY - Allows for a Grace Period to be set for None, 14 Days, 30 Days, 60 Days, or Indefinite. Setting a Grace Period will allow individuals to access and complete Training for up to the set period of time. If Indefinite, Employees will be capable of accessing and completing overdue training any time after the Training has ended.
    • Auto-Enrollment: Any employee created after the training has launched and fits the Enrollment Criteria will automatically be enrolled into the training.
      • This option is ENABLED by-default
      • Auto-Enrollment is automatically DISABLED for Premium Courses and Learning Paths, which require the purchase of Plan Credits
  8. Review and Create!
    • Review the Training that has just been created - Edit any areas that need to be adjusted, if any.
    • Once everything has been reviewed, select Create Training to finalize your changes. 


Once a Training has been created, the Training module will look something like the following, where the Training created will be displayed in a Tile, including the number of Courses, Status, Current Enrollment Stats and Settings - Clicking View will provide more information:



Selecting the Ellipses Button in the top-right corner of any tile will provide the following options: 


These options will allow an Officer/Admin to manage the Training. Whether it be updating the Name/Description, Adding additional Enrollment Criteria, or even Duplicating the Training, if needed. The End Training and End Training & Archive options are also available to Admins/Officers when the Training has been completed and can be ended. Training CANNOT be restored or re-enabled once it has been ended/archived
